FLORIDA LLC FORMATION & EIN FOR A 3-PARTNER STARTUP

Client Goal
Three business partners in Florida were ready to officially launch their new venture. They needed to:
• Register their Florida LLC
• Obtain an EIN from the IRS
• Begin the process for AHCA registration to operate the business

What I Did

  1. Reviewed Foundational Details
    I gathered and verified business and personal information for all three partners to accurately prepare the Florida LLC application.

  2. Filed the LLC Online
    While completing the application, I ran into technical issues with the state’s website. It turns out the platform does not handle copied and pasted text well. I re-entered the data manually and ensured the form was accepted without error.

  3. Coordinated with the State
    I contacted the State of Florida several times to resolve technical issues on their part and confirm successful filing. I managed all communication and kept the clients informed throughout the process.

  4. Secured the EIN
    Once the LLC was approved, I submitted the application for the Employer Identification Number through the IRS, which was successfully received.

  5. Provided Clear Next Steps
    I sent the clients a detailed email outlining what to do next: open a business bank account, obtain insurance, and prepare for their AHCA application to begin operations.

Outcome
• Florida LLC approved
• EIN obtained and ready for use
• Clients are now prepared to submit their AHCA registration and launch their business operations

This project is a great example of how early-stage support makes a difference. From navigating tech issues to managing state communication, I provided comprehensive assistance that gave these new business owners the clarity and confidence to move forward.

CLIENT ONBOARDING

To streamline my client’s onboarding process, I manage tasks in ClickUp:

  1. Client Details: My client tags me in a Google Sheet with the new client’s info. I duplicate and customize the onboarding template in ClickUp.
  2. Welcome Email: I edit and send with relevant details.
  3. Client Agreement: I update and share it via Dropbox.
  4. Trello Board: I create and customize a Trello board for collaboration.
  5. Zoom & Calendar: I set up recurring meetings and send invites.
  6. Mailchimp: I tag the client for updates.

This ensures a seamless onboarding experience, freeing my client to focus on delivering value.

ORGANIZING WORKSHOP EVALUATIONS 

I assisted a client in organizing evaluations from her transformative workshops, which empower domestic violence survivors. These workshops will be evaluated by PhD students to measure their impact. We scanned 20 years’ worth of evaluations, redacting sensitive information and organizing files by year, month, and type on a Dropbox-like platform. Despite the challenges, I created a systematic method for scanning and organizing, streamlining the process and making it more manageable for everyone involved.

WEBSITE UPDATES

Every week, I update various WordPress websites for a talented web designer and developer. Initially, his instructions were detailed, with images guiding me through each step, which helped me understand his work. Over time, I became familiar with his diverse projects and clients’ needs, requiring less guidance. Now, he often forwards client emails to me, and I interpret their requests, creating my own instructions. This process bridges the gap between client needs, saving him time and allowing me to manage tasks more independently.

MANAGEMENT OF PODCAST CONTEST EMAILS DURING CLIENT’S VACATION

While my client was on vacation, I managed her podcast contest emails. I checked her inbox daily, verified that each entry met the contest criteria, and sent timely, personalized responses. If any information was missing, I promptly communicated with contestants to ensure they could still participate. Additionally, I tracked participant data in a Google Sheet for seamless organization. The contest ran smoothly in her absence.
